About This Release

Release Summary

This document describes features and improvements included in the StudentX v26.06 release. It is intended for internal teams, implementation partners, and client administrators. Please review all sections relevant to your configuration before deployment.

Platform

The Platform module receives significant upgrades in this release, introducing a self-service report builder, structured task management, rule-based user segmentation, and the foundation of an automated journey builder.

Dynamic Report Builder

The Dynamic Report Builder enables administrators to create, schedule, and share custom reports without writing queries. A guided three-step wizard (Details, Filter Rules, Schedule) takes a report from definition to automated delivery, and every run is tracked in an execution history.

Key capabilities

  • Report listing with status, schedule, reporting area, and next-run visibility, plus search, filters, and column controls
  • Select report columns from a curated attribute catalogue for the User Engagement reporting area
  • Filter rules with AND/OR logic and nested groups, with a live data preview that refreshes as rules change
  • Schedule reports daily, weekly, or monthly for delivery by email (secure download link) and/or SFTP, or export results to CSV on demand
  • Run Now, Edit, Clone, and Delete actions, governed by role-based access
  • Report details page with execution history, success rate, next run, and a CSV download for each run

Task Management

A centralized task management capability has been introduced to the Platform, enabling staff to create, assign, and track tasks for themselves, colleagues, or entire departments from a single interface, with notifications that keep everyone informed as work progresses.

Key capabilities

  • Create tasks with a title, description, and due date, and assign them to yourself, a colleague, or a department
  • Personal tasks for users without assignment permissions, with the assignee set to self
  • Departmental queues: tasks route automatically to a department’s point of contact, or can be claimed by any department member
  • Role-based access with Owned Only and Global scopes across My Tasks, Watch List, and Department Tasks views
  • Send communications from a task by email, SMS, in-app message, alert, or push, with a communication log on the task
  • Private task reminders that appear in a dedicated Reminders panel when due
  • Automatic notifications for assignment, comments, status and priority changes, due-soon, overdue, completion, and more, via the bell (web and mobile) and push (mobile)
  • Per-notification preferences under User Preferences, plus an unread-comment indicator on the task list
  • Kanban view: switch between list and Kanban boards on My Tasks, Watch List, and Department Tasks, with status lanes, task counts per lane, and drag-and-drop status changes (within role rules)
  • Task Type master: administrators create and manage task types (e.g., Academic, Financial) with Active/Inactive status; task types in use can be deactivated rather than deleted
  • Task SLA master: first response and resolution times configured by priority and task type, applied automatically when tasks are created, updated, or consolidated

User Segmentation

Administrators can now define rule-based user segments from user and student attributes. Segments store rules rather than fixed member lists, so membership stays current as data changes, and segments can be used to target audiences across the portal.

Key capabilities

  • Rule-based segment builder with AND/OR logic and nested groups up to three levels deep
  • Operators tailored to each attribute’s data type, including number, text, list, multi-select, yes/no, and date
  • Membership resolved in real time from segment rules, with no static lists to maintain
  • Active/Inactive status control, with new segments created as Inactive until ready
  • Segments available for audiences for messaging

Journey Builder

Journey Builder provides a visual, canvas-based interface for designing automated student journeys. This release delivers the foundation: creating journeys, configuring how they start, and managing them from a central listing.

Key capabilities

  • Create a journey with a name, description, and trigger type; it opens on the canvas as a Draft with the trigger already placed
  • Three trigger types: On Change (fires when a condition becomes true, such as attendance falling below a threshold), On Event (predefined system events), and On Schedule (daily, weekly, or monthly)
  • Journey listing with Draft, Active, and Inactive statuses, trigger and node summaries, search, and filters
  • Journey actions: Edit, Run Details, Duplicate, Activate/Deactivate, and Delete

Portal Analytics: Content Performance

A new Content Performance tab in Analytics shows administrators which portal content students and staff use, and which they overlook, so teams can see what content is working and what needs attention. All metrics respect the role, user group, and segment filters, and metrics appear only for features the institution has adopted.

Key capabilities

  • Content discovery overview: count of active content, split by pages, apps, community pages, external links, and interests
  • Pages and community pages: top and bottom 10 by views and by average time spent, with landing-page and left-navigation indicators
  • Apps: most and least used apps, and average time spent per app
  • External links: most, least, and never accessed links across left navigation, pages, and community pages, including links no longer active
  • Interests: most used, least used, and never used interests

View-all detail lists for pages, apps, external links, and interests, paginated and downloadable

Navigation Improvements

The portal’s left navigation now preserves your place when you open an external link, so you can return to exactly where you left off.

Key capabilities

  • External links open in the same tab or a new tab, as configured
  • When an external link opens in a new tab, the original tab keeps the active menu item highlighted and its content displayed

Form Builder

A flexible form builder enables institutions to create structured data-collection forms linked to student profiles, events, or processes. Forms can be published to the portal or shared via direct link.

Key capabilities

  • Create a new form with a name and description; it opens in the form builder as a Draft
  • Form listing with search, status filter, sorting, and configurable columns
  • Draft and Published states, with a copyable submission link for sharing published forms
  • Duplicate forms, export responses, reset responses, or delete forms, with confirmation for destructive actions
  • Role-based permissions: View, Manage, and Delete/Reset
  • Field types: text, number, date, dropdown, checkbox, file upload, and signature
  • Conditional logic to show or hide fields based on prior responses
  • Form responses linked automatically to the submitting student’s record
  • Approval workflows: route submissions for review before finalizing
  • Form analytics showing submission rates, completion times, and abandonment

Engagement

The Engagement module is enhanced with a comprehensive form builder, ERP connectivity through Colleague, improved navigation and community interfaces, and a batch of targeted production fixes.

Colleague Apps Integration

A new Colleague Apps integration connects the StudentX Engagement portal to Ellucian Colleague, so students can see their Colleague information directly in the portal on web and mobile. Apps display the data returned by the Colleague APIs.

Key capabilities

  • Three Colleague apps at launch: Holds, Account Summary, and Schedule
  • New Colleague Apps Integration option under Manage Integration to connect the portal to Colleague
  • Add Colleague widgets to portal pages through Manage Page, and make them available to authorized users through role-based access
  • Apps and widgets follow the portal’s configured branding

Community Navigation Enhancements

Enhanced the Community App and Widget experience with improved navigation, faster page discovery, and seamless access to Community pages through direct URLs.

  • Automatically groups overflowing desktop navigation items with an overflow count.
  • Quickly search and access Community navigation items, including submenu items.
  • Preserves the active page and navigation state when links open in a new tab.
  • Admins can copy end-user-facing Friendly URLs directly from Manage Communities.
  • Community pages can be opened directly through their URLs without displaying the Back button.

Retention

The Retention module expands appointment scheduling for advisors and students and adds editing controls for intervention plans, giving advisors the tools to proactively support at-risk students.

Appointment Scheduling

Advisors can now create and publish appointment slots and book appointments on a student’s behalf, while students can search for, book, reschedule, cancel, and join appointments from the Appointments app on web and mobile.

Key capabilities

  • Create and publish one-time or weekly recurring slots by service, appointment type, and meeting mode (in-person, virtual, or call), with conflict and buffer checks
  • Advisors book on a student’s behalf from published slots, with a student summary card and private advisor notes
  • Students search eligible slots by service, advisor, department, location, date, and meeting mode, in list or calendar view
  • Self-booking with a reason for the appointment, and request-to-book where advisor approval is required
  • My Appointments view by status (upcoming, pending, completed, cancelled, rescheduled, no-show), with reschedule and cancel within configured windows
  • Join virtual meetings directly, with confirmed appointments shown in the My Calendar app

Intervention Plans

Advisors can now edit and delete intervention plans, whether created manually or generated by the system, with safeguards that protect interventions already in progress.

Key capabilities

  • Edit a plan’s name, goal, and owner, and add or adjust risk factors and their severity
  • Add interventions to an existing plan, and remove interventions that have not yet started
  • Safeguards: model-identified factors, and factors linked to started interventions, cannot be removed
  • Plan category is fixed after creation to preserve the one-active-plan-per-category rule
  • Delete a plan only when none of its interventions has started, with clear confirmation messaging
  • Plan view with progress bar, owner, category, factors, and creator (including system-generated plans)
