Summary

The following functional areas have been enhanced with new updates:

  • Checklist Status Updates through Custom Scheduler
  • Applicant Update Schedular – SIS Email Address update.
  • New Fields in Questionnaire Section
  • Relationship and Family Highest Education Level fields in Export File
  • Added Student Type in Rule Component
  • Added Questionnaire fields in Rule Component
  • Custom Scheduler – Option to export Active or Inactive records.
  • Added Enrollment Type field in Rule Component.
  • Preserve Audit information for Deleted records (Individual deletes for Prospects and Applicants)

New Features

Checklist Status Updates through Custom Scheduler

With this release, a new feature is introduced in Custom scheduler through which applicant checklist status can be updated. Administrative user can create a checklist update scheduler by navigating to Settings >> Scheduler >> Custom and select Checklist Update option from the Process Type. Once all the required fields are entered, the process can be saved. Administrative users can download a template for the input file format by using download template option.

The downloaded file has the below mentioned format.

To process a checklist update, the input file must have Applicant Id and Checklist Code as primary key for whom the Status must be updated. Reason is optional but if provided would be updated in the checklist item. Checklist Id is a code that must be saved with the Checklist Item. This is a new field added in the checklist item with this release. For the checklist update to work, this field would be required for every checklist item that is desired to updated via the scheduler.

Enhancements and Improvements

Applicant Update Scheduler – SIS Email Address update.

With this release, a feature is introduced in the Applicant Update Process in custom schedular where SIS email address can be updated using SIS Id as a key.

Administrative user must navigate to Settings >> Schedular >> Custom and select Applicant Update process. SIS Id has been included as a key in the Primary key section.

When the SIS Id field is checked in the Primary keys section, this will be included in the downloaded template.

New Fields in Questionnaire Section

With this release, there are new fields added in the questionnaire section. There are seven new text fields that are added. These fields can be renamed and used within the forms of Prospects and applicants. These fields are also available in the Customized column, Rule components for Prospect Task, Applicants Task, Decision Tasks and Custom Schedular. For the new fields to be enabled on forms, administrative users must navigate to Settings >> Institutional Defaults >> Manage fields >> Administrative and select Applicants or Prospects as desired.

Relationship and Family Highest Education Level fields in Export File

With this release, “family highest education level” field is added to system schedular Application export. The field is appended to the end of the existing fields in the exported file. Four fields are added in the export file depicting relation type and its corresponding level of education. There are two instances of relation type – Family member education level pair.

Also, on the Applicants list page, relationship type and Family member highest level of education field will contain multiple values separated by comma. In the below shown example relationship “Father” has highest level of education as Masters and for Spouse, it is Bachelors.

In the export file through applicants list page, the columns for Relationship and Family highest will contain multiple values when more than one instance of relation are added as shown below.

Added Student Type in Rule Component

With this release, Student type is added as a rule component in Prospect Task and Custom Schedulers (for Prospect Export). Administrative users can now use this Student Type as rule component to segment prospects to whom should the tasks be applied to.

Added Questionnaire fields in Rule Component

With this release, Questionnaire fields are added as rule components in Prospect Task, Applicant Task, Decision task, Checklist Item and Custom Schedulers. Administrative users can now use this Questionnaire as a rule component to segment prospects or applicants to whom should the tasks be applied to. There are 12 text type, 7 Yes/No type and 6 Date type questionnaire fields.

Custom Scheduler – Option to export Active or Inactive records.

With this release, a new functionality is introduced in Custom Scheduler to decide whether only active records to be exported or to include historical records also. This is available for Prospect and Applicants exports only. To use this feature user must navigate to Prospect or Applicant Custom Export from Settings >> Scheduler >> Custom. In the custom process, administrative user will find an option “Only Active Terms” as shown below.

If this option is checked, in the exported file only records those are active will be included. Active records are those whose academic term is not closed. If this option is unchecked, then all records will be included within the applicable rules.

Added Enrollment Type field in Rule Component

With this release, Enrollment Type field is added as rule components in Applicant Task, Decision task, Checklist Item, Custom Schedulers and System Policies. Administrative users can now use Enrollment type as a rule component to segment prospects or applicants to whom should the tasks be applied to.

Preserve Audit information for Deleted records (Individual deletes for Prospects and Applicants)

With this release, certain attributes of a deleted Prospect or Applicants Entity are preserved at the backend. This will help to audit any accidental deletes. However, the deleted record cannot be recovered in any way. This preservation is just for auditing purposes and not recovery.
Similar logging for People Entity deletion through Mass delete option was released in 12.1v release.

Resolved Defects-

  • Fixed an issue related to Signature not showing correctly in outlook.
  • Fixed an issue where SIS short code was not getting replaced when used in communication content.
  • Resolved an issue where Save button was not enabled when day/date/time was changed on scheduler.
  • Resolved an issue where Impersonal icon was visible even though no roles were configured.
  • Resolved an issue where advanced search was not function if the Program name included apostrophe.
  • Some rule components were not functioning according to the applied conditions. Resolved issues related to those components and conditions.
